STUDENTS WHO WISH TO CHANGE THEIR NAME WHILST AT UNIVERSITY
A student may wish to change their name for various reasons, including marriage, divorce, transitioning or for reasons of personal safety (for example, witness protection). The University recognises that names and pronouns are integral to self-identity and should be respected.
UK law does not require any specific process for a change of name (deed poll).
To change your name, for University purposes, on your:
• Student ID Card
• Student Record
• University email address (including Network ID login)
Please log a job via SupportMe (select the option: Students - Official Name Change Request). You must clearly indicate your current name, student number and which part of your name(s) and/or title you wish to change. There are also options to change your "known as" name, title and pronouns.
Upon receipt of a request your name will be amended on the master student database, which electronically feeds other University systems e.g.: Moodle, HEAR, Student Support databases, Finance database, Student Attendance Management system, UCSU, and external systems/processes e.g. council tax exemption, SLC. Your degree certificate will be issued in your new name. Once your name change has been processed, and if requested via the Help Desk process, IT Services will then change your email address/Network ID login to reflect your new name.
If you would also like to update your photo as part of this process please email the Academic Registry Student Records Team (sturecords@chi.ac.uk) with your new photo and this will be expedited, so as to enable you to also get a replacement campus ID card.
To change your name on other documents (examples listed below), you should contact the relevant department e.g. UCSU or our Sports Centre:
• Student Union Card
• National Union of Students (NUS) extra card (TOTUM Card)
• Club and Society cards
• Volunteer/mentor ID badges
• ID badges
• Gym membership cards
CHANGE OF NAME ON DEGREE CERTIFICATES FOR FORMER STUDENTS
Qualification and degree certificates are regulated documents and in exceptional circumstances e.g. gender transitioning, witness protection, certificates can be re-issued. Before new certificates can be issued in a different name, you will need to return your original certificate together with an accompanying letter (with your current address) detailing your request, including the reason, together with a copy of ID, for example an in-date UK Driver’s Licence or Passport, so that the University can verify and action accordingly. All such requests should be directed to Student Records (Academic Registry), via sturecords@chi.ac.uk.
All requests will be treated in strict confidence and only shared as necessary to ensure changes are expedited.
PLEASE NOTE: if your certificate does not match other forms of official ID that you hold, this may be challenged e.g. by another HEI that you apply to for a postgraduate course, or a prospective employer. Academic Registry (Student Records) will be able to provide an official letter to accompany your certificate in such circumstances, upon request.
